Job Description

One of the world’s most successful law firms is looking to hire a new PA/Administrator to work within one of their legal practice areas as the main point of support to the Secretarial Manager, this role will include offering first line support in addition to assisting with the vast amount of recruitment, meaning you will get great recruitment and HR exposure. Duties will include being asked to schedule meetings for management group meetings, taking minutes, summarising action points arising, follow up with individuals to ensure deadlines are met, assist the Secretarial Manager with diary management, setting up of meetings and preparation of materials, prepare and input data for weekly department timesheet arrears reports, prepare and input figures for weekly department reports; sending out resulting emails to Associates, collate data for the Work Allocation Report and prepare documents for the Monday morning Partner meeting, update other relevant reports for the Secretarial Manager such as PA Overtime Report, Manpower report and Ratios, assisting with any other ad-hoc requests and actioning necessary amendments to holiday and absence via PeopleSoft (HR System). Your recruitment responsibilities will involve liaising with and working alongside HR, the SM and agencies regarding vacancies, reviewing and logging CVs on I-Grasp; following up interview notes; and ensuring interviews are in place, assist the Senior Legal PA’s and SM by attending 1st stage interviews, conducting the technical testing for Legal PAs who apply directly, assist SM in the coordination of temporary resourcing and recruitment and maintaining the 'temp register’ and co-ordinating various work experience/vacation placement schemes. With this law firm being one of such high reputation the client is looking for someone with both great ability and capacity, applicants must have excellent attention to detail, good people and relationship management skills, solid administration skills, advocate for change, confidentiality and discretion are paramount, excellent organisational skills, the ability to prioritise, and to work under pressure and to tight deadlines, have experience of managing small projects and a high level of keyboard and software literacy plus ideally being of graduate calibre and have worked in a busy PA/administrative capacity where you have ideally taken minutes, organised busy diaries and been responsible liaising with all levels of staff.
