Job title Recruitment & Operations Assistant Location Edinburgh/Glasgow, Scotland Salary £16,500 Per Annum 40hours per week, 5 days across 7 as normal, Mon-Sun, rota based shifts Job Summary Working closely with and reporting to the Scotland Branch Manager you will provide support in every aspect of the recruitment of the casual team and operational running of the branch. You will help to uphold company compliance to employment and Immigration law for casual staff, as well as internal Recruitment policy compliance ensuring all shifts are fully staffed with an appropriate team and that client expectations are exceeded. Maintain and develop excellent relationships with the casual team and clients, to profile and match candidates to our client's requirements. Focus on staff engagement, development, welfare and retention through regular communication. You will be expected to assist with operations and recruitment across the central belt, so regular travel is involved, along with the occasional overnight stay. You will be required to provide cover to both Edinburgh and Glasgow offices (Glasgow a min of once per week) and may be required to work at events to offer support, advice and valuable feedback to clients, staff and the office to further your industry knowledge. Key Responsibilities: 1 Gaining an in-depth knowledge of the casual team to match them to our client's requirements to introduce and develop both well-balanced, bespoke teams and capable 'stand-alone' staff 2 Assisting the Branch Manager in exceeding client expectations by listening and reacting to individual and long-term booking requirements and booking 'client favourite' staff to build regular teams 3 Respond to all booking requests in a timely manner, accurately and promptly confirming details back to both the client and the Branch Manager. Ensuring all event and booking details are posted on the website with 100% accuracy and booking confirmations and timesheets are sent in a timely manner. 4 Communicate event changes clearly to staff members ensuring details are understood and confirmed back 5 Build a rapport with casual staff pool and ensure open lines of communication and engagement. Coaching and mentoring them both from the office and whilst at events. 6 Deal with cancellations, punctuality and casual team discipline in a robust manner, upholding OTW standards to ensure consistent delivery of bookings to clients 7 Attend and support the running of casual assessment days on a regular basis in both Edinburgh & Glasgow 8 Record event feedback on client and staff profiles within 24 hours of event and reassure and instil confidence in clients via consistent and clear communication and a professional manner. 9 Build a warm and empathetic relationship with clients built on outstanding support whilst maintaining a professional manner at all times 10 Attend and assist with event quality checks to deliver an immaculate, well-groomed team in line with client requirements in both Edinburgh & Glasgow 11 Ensure all office admin and paperwork is correctly filed according to company policy 12 Comply at all times with all relevant UK and European Immigration and employment law 13 Able creation, revision and amendment of documents including training presentations, application forms, adverts, internal procedural handbooks and policies 14 Compile and update financial and numerical reports, implementing systems to minimise department spend 15 Assist with essential Employment Verification checks for key governmental and high profile security clearance 16 Assist in monitoring and quality control of new starter paperwork and filing. 17 Ownership of departmental 'Version Controlling' for ISO Audits 18 Gain full knowledge of all aspects of recruitment and initial staff training, including phone interviews and practical assessment days 19 Assist with project based and ad hoc tasks as per business requirements. Minimum Requirements 1 Excellent communication skills including fluency in spoken English and exceptional written English 2 Confident phone manner and the ability to engage appropriately with applicants, casual staff and clients 3 Drive and determination with attention to detail and an innate ability to focus on a variety of tasks 4 Exemplary work ethic 5 Immaculately presented with pride in both appearance and work 6 Computer literacy in Microsoft Office suite software, including Excel, Word and PowerPoint. This role requires an ambitious and driven candidate who wants to effect quality led change and make a real impact on the branch gaining satisfaction from beating targets and successful task completion. Physical requirements There will be a requirement to work longer hours on occasion.
