Job Description

1. Job Summary To contribute to the provision of a high quality comprehensive recruitment service, ensuring the timely appointment to vacancies across all (non-medical) staff groups which is consistent with Trust policy, legislative requirements and best practice To work as part of a high quality HR Services team and deliver exceptional customer service to all services within the Trust. The post holder will usually be the initial point of contact with members of the general public interested in working for the organisation. Provide support and guidance to all managers on recruitment and onboarding related activities, transactional issues and concerns. Maintain the confidentiality, accuracy and recording of all HR Data. To manage own workload, demonstrate efficient organisation, initiative and ensure the smooth effective operation of the office; To work within a team, providing organisational support to all staff; To gain understanding of local recruitment policy standards and be proactive in ensuring the Recruitment Team can deliver a service that meets the agreed standards and targets. 2. Key areas of responsibility To manage the recruitment and onboarding process for all posts within designated area and action within timeline of key performance indicators. This will include vacancy control process, uploading vacancies onto the recruitment system, checking advertisements, job descriptions and person specifications, undertaking, offer letters, pre and post-employment checks, issuing of contracts of employment and creating e-files. To ensure all new joiners information is entered onto electronic staff record (ESR) within set payroll deadlines each month. Ensure timely notifications to Payroll of all recruitment contractual changes to prevent under/over payments to staff. Ensure the Recruitment Tracker is updated and maintained on a daily basis. Ensure that all HR records and recruitment systems are maintained appropriately within E filing systems. Responsible for ensuring all pre-employment checks for successful candidates are undertaken and meet the standard for the Trust in line with NHS Employers Checks Standards, including; verification of identity, right to work in the UK, professional registration and qualifications, references, DBS disclosure and occupational health, in line with audit requirements. Check and highlight any discrepancies in relation to pre-employment checks: references, Disclosure and Barring Checks, registrations, right to work and Occupational Health clearances. Identify any errors or omissions, and either implement the correction or bring to the attention of the Recruitment Team Leader as necessary. To ensure all new starters have an e-file created and transfer recruitment documents from Tracker system. Ensure that honorary contracts are issued ensuring that appropriate checks are completed within a set timeframe, entries on ESR and e-files created. Ensure that all appropriate process spread sheets are updated or maintained on a daily basis eg salary review, DBS Risk Assessments, SBS payroll log To provide updates to recruiting managers as required Cover reception as required. Be aware of the sensitive and confidential nature of matters brought to the Recruitment and Onboarding Team and deal tactfully and appropriately with callers. Listen to and refer appropriately customer concerns. Deal with all telephone and personal callers to HR in a polite accurate, efficient and sympathetic manner, whether or not their queries relate to recruitment, referring to other staff as appropriate. To undertake audits of the recruitment process at the request of the Recruitment Team Leader. To assist in preparing evidence for internal and external audit inspections as required eg CQC & NHSLA. Undertake specific tasks or projects to agreed quality standards and timeframes, e.g. this may include the collation of data for report purposes Participation in recruitment campaigns/open days/job fairs as appropriate and provide assessment and selection centre support as required Ensure delivery of recruitment teams key performance Indicators (KPI’s) relating to recruitment time lines of service level agreement. To report team performance or procedural issues to the Team Leader to help deliver a high level of internal and external customer service Contribute and share ideas that enhance the current level of service provision to client managers, members of the public, etc and propose changes to working practices as necessary. Assist in the preparation/processing of information that is required for all outcoming/incoming tupe transfers. Produce all required recruitment paperwork to a high standard, ensuring a high level of accuracy and professional standard. Continually update IT skills and develop competence in all aspects of transactional HR services in order to ensure the team is multi-skilled and arrangements maximised during times of absence, peak workloads, etc. Actively participate in monthly team briefings/meetings and associated workshop/training events, ensuring action points are reflected upon and implemented as necessary in order to continually improve service delivery
